The controller responsible for data processing on this website is Robologic™ Group GmbH, Germany. You can reach us at info@robologic.group for any question regarding data protection.

Data we process

• Server log data: IP address, date and time of the request, browser type and version, operating system and referrer URL — processed to operate and secure the website.
• To limit the frequency of requests to our AI assistants, we store a keyed hash of the IP address, not the address itself. The record is deleted when the rate-limit window expires and is not used for any other purpose.
• Contact form and application data: name, email address, message content and any documents you send us voluntarily.
• Language preference: the language version of the site you visit (/en, /de, /es, /it, /fr or /pl).
• AI assistant input: the project description, equipment details, professional self-description or chat messages you enter into one of our optional AI assistants, and the answer generated from them.

Purposes and legal basis

• Provision and security of the website — legitimate interest, Art. 6 (1)(f) GDPR.
• Answering enquiries and pre-contractual communication — Art. 6 (1)(b) GDPR.
• Processing job applications — Art. 6 (1)(b) GDPR and § 26 BDSG.
• Statistical audience measurement via our hosting provider's web analytics — only with your consent, Art. 6 (1)(a) GDPR in conjunction with § 25 (1) TDDDG.
• Optional AI assistants (project estimate, maintenance planner, BMS integration review, Fintech Product Blueprint, career match, support chat) — your consent, Art. 6 (1)(a) GDPR.

Cookies and analytics

This website uses technically necessary cookies required to deliver the pages, including a technical cookie set by the hosting platform.

In addition, we use our hosting provider's web analytics for statistical audience measurement — only after your explicit consent. Before consent is given, no cookie is set and no data is transmitted. The analytics script is served via our own domain, and the data is transmitted only to that domain; it is not shared with third parties for advertising. The data collected is: the URL visited and the referrer, browser type, operating system and device class, approximate country, and timestamps. The statistics are available to us only in aggregated form (visitors, page views, bounce rates, countries, traffic sources, devices).

Once consent has been given, a first-party cookie named “session-id” is set for this purpose. It contains a random identifier, is valid for 30 minutes, and serves to distinguish sessions from one another within that period.

The legal basis is your consent under Art. 6 (1)(a) GDPR in conjunction with § 25 (1) TDDDG. You can withdraw your consent at any time via the “Cookie settings” link in the footer; the withdrawal takes effect for the future.

Your choice (consent or refusal) is stored in your browser's local storage so that we do not have to ask you again. This storage is technically necessary in order to honour your choice.

No advertising or cross-site tracking cookies are set.

AI assistants

This website offers six optional AI assistants: a project estimate on our service pages, a maintenance planner, a BMS integration review on our building management page, a Fintech Product Blueprint configurator, a career match on the careers page, and a support chat. Using them is voluntary — every page can be used in full without them.

When you use one of them, the text and form values you enter are transmitted to the gateway of our AI provider, which acts as our processor under Art. 28 GDPR and passes them to a large language model in order to generate the answer shown to you. Storage of the request on the provider's side is switched off, so your input is not retained there and is not used to train models.

Please do not enter personal data you do not wish to share, and in particular no data about third parties. The career match is intended for a short professional self-description; you do not have to paste a complete CV, and you should not include special categories of data such as health or trade-union information.

The answers are generated automatically. They are preliminary, non-binding and do not constitute an offer. They are not an automated decision within the meaning of Art. 22 GDPR: no decision about you is taken on that basis, and every enquiry is reviewed by a person.

The support chat is not stored on our servers; the conversation exists only in your browser until you close the page. The data you enter into the maintenance planner and the career match is not stored either. The project estimate is the exception: we keep the project description you enter, together with the generated classification, as an enquiry for 60 days and then delete it automatically. We also keep anonymous daily counts of how often each assistant is used, broken down by assistant, day, site language and project or equipment category. These counts contain no text you enter, no IP address and nothing that could be linked to you or your device.

The Fintech Product Blueprint stores your configurator answers and the generated blueprint under a random session identifier for 30 days, so that you can return to and edit the result in the same browser; after that they are deleted automatically. If you then send us an enquiry with the blueprint attached, we keep the enquiry (your contact details, message and a copy of the blueprint) for 60 days and then delete it automatically.

If you ask us to email you a result from one of the assistants, we store your email address and the result for 60 days in order to send it and to respond to your enquiry, and then delete them automatically. The legal basis is the performance of your request and our legitimate interest in responding to it.

The legal basis is your consent under Art. 6 (1)(a) GDPR, which you give by ticking the box on the respective form before submitting it, and in the support chat by sending your first message after the notice shown there. You can withdraw your consent at any time with effect for the future by writing to info@robologic.group.

Hosting and processors

The website is hosted by a service provider acting as a processor on our behalf under a data processing agreement pursuant to Art. 28 GDPR. Data is processed on servers within the EU wherever technically possible. A current list of processors is available on request.

Retention

We keep personal data only as long as necessary for the stated purposes or as required by statutory retention periods. Enquiries are deleted once the matter is fully resolved; applicant documents are stored for 60 days from receipt and are then deleted automatically. Project descriptions entered into the project estimate are deleted 60 days after they are received.

Your rights

Data security

Traffic between your browser and this website is encrypted via TLS. We apply access controls and the principle of least privilege internally. No transmission over the internet can be guaranteed to be entirely secure, but we continuously review our technical and organisational measures.
